Responsibilities

Administrative Services Manager needed to perform senior level Executive Assistant and Human Resources Coordinator responsibilities for our South Region corporate office. This role requires ability to exercise initiative, discretion, judgment, tact, and diplomacy with sensitive, complex, and highly confidential information in a very fast-paced environment. The incumbent is responsible for providing advanced, diversified, and confidential administrative duties that require broad and comprehensive experience, skill, and knowledge of organizational policies and practices.

 

This person will provide:

  • Administrative support for the South Region corporate office; includes managing calendars, making travel arrangements, creating and submitting expense reports and developing, distributing, and maintaining reports.
  • Proactively anticipate and react to required materials for meetings, priority issues, scheduling changes, interview coordination, etc.
  • Effectively perform variety of HR responsibilities, including conduct background checks, maintain organization charts, develop and maintain talent analysis documents, maintain employee files, conduct orientations, set up new hires and complete necessary paperwork, prepare new employee announcements and on-board plans, and conduct exit interviews.
  • Perform other administrative duties, prepare presentations and documents, mail, phone lists, schedule meetings, process invoices, set up vendors, set up new hire computers and work stations, etc.
  • Perform as building manager liaison as well as effectively project managing an office build-out and move.
  • Serve as liaison between executive, direct reports, and business associates.
  • Maintain organized system of tracking, monitoring and prioritizing tasks and projects.
  • Develop standard processes/procedures and process flow documents for various business units to drive consistency in core practices.

Qualifications

  • College degree preferred.
  • 5-7 years experience supporting executives
  • Office management experience a plus.
  • Expert level technical skills with Microsoft Office tools, Word, PowerPoint, Excel, Outlook, and Visio required.
  • Experience in construction or home building industry preferred, but not required.
  • Strong experience developing processes/procedures and process flow documents.
  • Exemplary written and verbal communication skills.
  • Superior organization and project management skills.
  • Positive, can-do attitude with the willingness to drive projects independently.
  • Ability to maintain confidential and proprietary information and data.
  • Ability to work independently, think critically, and exercise delegated decision making
  • Proactive – anticipates needs and takes action.
  • Flexible – able to excel in a fast paced environment with changing priorities.
