  • Responsibilities

    • Receive and expedite calls from homeowners as appropriate
    • Create and finalize exception letters and other correspondence
    • Prepare reports and track construction metrics weekly.
    • Update records related to scheduling changes and for subsequent buyers
    • Receive and direct calls from subcontractors
    • Prepare weekly reports and track data for AVID survey responses and scores
    • Assist, as required, with follow up calls to homeowners.
    • Distribute weekly Community Team Meeting packages.
    • Will have frequent contact with Buyers, may also interact with Lenders, Title Companies, Appraisers, and other external contacts as well as daily interactions with Construction, Finance, Sales, Warranty, Purchasing Operations, Mortgage, and Design in order to facilitate closings, and contract and addendum executions.
    • May be asked to assist as required in tracking closings, applications, approvals, etc. or generate Starts with Purchasing, Operations and Sales
    • May assist with processing Purchase Agreements, Amendments and Exhibits correcting any errors, copy and distribute to Sales, Lender, Buyer and Title Company. Perform miscellaneous office duties as needed to assist in the office.
    • Manage and track stage 8 accuracy on all homes under construction.
    • Assist in managing Operational bonus’s.
    • Manage and conduct close of escrow meeting with all customers at the closing table.
    • Manage OSHA compliance in the corporate office as well as in each community throughout the city.
    • Assistant to the VP of Operations and Director of Construction.
    • Code and authorize operations payroll.
    • Track VPO’s on all closed homes.
    • Track and distribute the Operational Dashboard.
    • Organize all operational meetings and team building activities.
    • Order and distribute all operational marketing and clothing materials.
    • Assist in managing the annual Operations Fishing Trip and GHBA cook-off.
    • Distribute weekly model and inventory mow list to field personnel and Landscape companies.
    • Distribute Final Package tracking spreadsheet.
    • Distribute monthly closing list to specified contractors.
    • Weekly update the status report and distribute accordingly.


    Education:  Minimum High School Diploma, or equivalent  




    Advanced in Excel, Power Point and Word.


    Preferred Knowledge of AVID.


    Experience in JD Edwards, Salesforce, and Hyphen/BuildPro


    Customer Service experience preferred.


    Very organized with good planning skills
